Put Microsoft 365 Copilot to work with your team

Microsoft 365 Copilot can help managers prepare, summarise, and draft within the Microsoft 365 apps their teams already use. It still needs a clear prompt, suitable source material, and a person who checks the result.

Availability varies by license, tenant configuration, app, and region. Confirm the current service description with your Microsoft 365 administrator before planning a rollout.

Prepare meetings around decisions

Before a meeting, ask Copilot to summarise the relevant documents or conversation and identify unresolved questions. Use the result as a draft agenda, then add the decision owner and the outcome the meeting must produce.

After the meeting, compare any generated summary or action list with the transcript and participant notes. A concise recap is useful only when names, dates, and commitments are correct.

Keep goals and actions visible

Copilot can help turn a long discussion into a shorter list of decisions, risks, and next steps. Ask for a table with the action, owner, due date, and source.

Do not treat a generated task list as assigned work. The manager should confirm ownership and update the team’s normal tracking system.

Draft important communication

Use Copilot to produce a first draft for an announcement, project update, or executive note. Give it the audience, decision, evidence, and tone rather than asking for a generic “professional email.”

Review the final message for confidential details, unsupported conclusions, and wording that hides who made the decision.

Prepare coaching conversations

A manager can use Copilot to organise notes, compare them with agreed goals, and draft questions for a one-to-one conversation. Keep personal judgments and sensitive employee information within approved systems and access boundaries.

The useful output is a better prepared conversation, not an automated assessment of the person.

Develop ideas in Loop

A Loop page can give a team shared material to edit. Copilot can help create an initial outline, group ideas, or expose repeated themes.

Name the decision criteria before brainstorming. Otherwise, the team may get a longer list without a clearer choice.

Research with sources attached

Copilot Chat can work with web or organizational content where the user has access and the feature is enabled. Ask it to show sources, dates, and gaps.

Open the cited material before sharing a conclusion. A polished answer can still rely on an old page, omit a constraint, or combine sources incorrectly.

Reduce the cost of long email threads

In Outlook, a summary can help a reader find the main question, decision, and outstanding reply. Check the original thread before acting, especially when several people changed the scope over time.

A useful follow-up prompt is: “Which statement changed the decision, and where was it written?”

Build a consistent onboarding pack

Use approved team material to draft a role-specific onboarding plan in Word. Include the systems, people, decisions, and safety boundaries a new starter needs during the first weeks.

Remove obsolete documents from the source set first. Copilot cannot repair an onboarding process built on conflicting guidance.

Prepare an executive summary

Give Copilot the source reports and ask for the decision, evidence, uncertainty, and next action. Keep the summary short enough that an executive can trace each point back to the source.

Do not ask it to invent missing metrics or fill a blank result with an estimate.

Plan team activities with real constraints

Copilot can produce options for a workshop or team activity when it receives the date, location, accessibility needs, budget, and purpose. Let the team make the final choice.

The same pattern applies across all ten uses. Define the task, provide trusted material, review the result, and record the decision in the team’s existing system.
